Counselors, check-ins, and curfews

As a dorm resident, you’ll be supervised by our experienced and dedicated SJW counseling staff. Counselors take roll at the daily 9:00 a.m. meeting and conduct a late wake-up check at 9:15 a.m. in the dorms. After classes end each day, the counselors have a daily check-in meeting where they go over that evening’s activity options and take roll once more. At that time, you’ll have free time to join in on counselor-led activities or attend Stanford Jazz Festival events.

At 10:00 p.m. each evening, you must either check in with the dorm duty counselor and go to bed, or check in at the general 10:00 p.m. meeting to attend the CoHo Faculty Jam. After 10:00 p.m. all dorm residents must either be in their dorms or at the CoHo with the counselor on duty. If you attend the counselor-supervised CoHo Jam, you will be escorted back to the dorm by midnight. Counselors will do a final check-in at the dorm and then monitor the halls throughout the night. 

Ignoring instructions from counselors, being late to classes or meetings, going out of bounds or breaking curfew can result in expulsion from SJW.

Meal cards 

As a dorm resident under the age of 18, you’ll receive two electronic meal cards that will cover food costs at Tresidder Student Union eateries and Stanford Dining cafeterias for the entire week. Each card will have funds to cover the costs of your meals for the week. Please use your meal cards responsibly in order to make the funds last throughout the week.

Please report lost cards immediately to a counselor or to SJW staff, since they are as valuable as cash. New meal cards must be ordered and processed through University Dining, so please keep your card in a secure spot when not in use.

You can use SJW food cards at the Tresidder Student Union eateries and the Dining Halls. We’ll give you a tour of the dining areas, so you can see what’s available. 

A few retail food services, notably Jamba Juice and Starbucks Coffee, do not accept SJW Meal Cards. Bring some cash to camp if you want to purchase food from these or other non-participating food vendors. Counselors will review the meal plan with you at the dorm meeting at the 3:00 p.m. Dorm Resident Orientation on your first day of camp.

Key deposit accepted beginning July 6

Stanford University requires a key deposit of $250 of all dorm residents. The deposit is a credit card authorization only – your credit card will not be charged unless we notify you that your key has been reported missing by Stanford Housing after check-out at the end of camp. 

We’ll contact you at least one week prior to your arrival at SJW with instructions on how to submit your deposit through your SJW online account. You must submit your key deposit before you arrive, but we will not be able to take credit card deposits before July 6, as credit card authorizations only stay active for a limited amount of time. The authorization on your card will automatically expire after our programs end. Please note that you may see a pending hold on your bank statement until the authorization automatically expires.

Key return policy

At the end of your week, return your keys directly to Stanford Housing — not to SJW counselors or office staff. We’ll provide instructions and directions to make it easy to return your keys. SJW counselors and staff will not be responsible for any lost keys. When you return your key to Stanford Housing you will receive a key return receipt. Please hold on to this, as you will need to refer to it if there is any discrepancy concerning your key. All keys must be returned upon checkout: We’ll send specific times and locations. If keys are not returned by that time, Stanford will re-key the room and the $250 key deposit will be charged to your credit card.

Participant Check-In/Check-Out Notification due June 15

As a dorm resident, plan to arrive at Braun Music Center at 11:00 a.m. to check-in on your first day of camp. 

Late arrival on registration day: If you are a dorm resident and will be arriving after 11:30 a.m. or a commuter and arriving after 1:00 p.m. on Registration Day, the first day of camp, please call our office at 650-736-0324 or e-mail us at [email protected] as far in advance as possible so we can make late arrival arrangements for you.

Check-in procedure

Resident students under the age of 18 should arrive at Braun Music Center at 11:00 a.m. for registration on Sunday, the first day of camp.

We’ll have signs directing you to check-in tables located outside Braun Music Center where you’ll will receive your welcome materials. Counselors and volunteers will be on hand to help with luggage and show you where they can store their instrument, either temporarily or in a locker for the week. We’ll store your luggage until dorm check-in after dinner. Our counseling team will take your luggage to your dorm. 

Once you’ve dropped off your luggage and instrument, you can go to Campbell Recital Hall where the SJW counselor band will greet and perform for you.

As a dorm resident, you can let your family go home at a little before 12 noon, when the Dorm Orientation begins. At this meeting, you’ll meet your counselor, receive your meal cards, and meet other students in your dorm.

The all-camp welcome meeting for all campers will begin at 1:15 p.m. in Campbell Recital Hall.

Check-out procedure

Stanford Housing will be on hand outside Braun Music Center to assist with check-out on Friday evenings and Saturday mornings. 

At Jazz Camp, all two-week program participants have the option to check-out between 5-7 p.m. after class and before their combo performance. At Jazz Institute, students can check-out between 6-8 p.m. after classes and before the SJW All-Star Jam concert. All participants also have the option to stay Friday night and check out of their dorms on Saturday morning between 8-10 a.m.

All participants who choose to stay over on Friday night will need to have all their belongings out of their rooms and in the dorm lobby by 8:30 a.m Saturday morning. All participants must be out of the building and return their keys to Stanford Housing by 10:00 a.m. or the room will need to be re-keyed and the key deposit will be forfeited.

Dorm residents attending consecutive weeks

Participants staying in the dorms for multiple weeks of camp may need to check-in and out of the dorms on the morning of Saturday, July 22, and/or Saturday, July 29 because the dorm location assignments can be different each week. However, we do our best to keep participants in the same room if possible. Counselors and Stanford Housing staff will be on hand to help participants transport their luggage on these Saturdays.

Students enrolled in two week programs will be housed on campus over the weekend between camp weeks, and will have sufficient funds in their meal cards to cover weekend meals. Minor students enrolled in multiple weeks are not allowed to leave campus or return home during the weekend without prior written permission from the registrar

Internet access

Participants may bring their laptop computers with them to Jazz Camp. Stanford provides free WiFi for visitors.
