Refund policies

What payments are due, and when?

A one-time $200 non-refundable deposit is due with your application at the time of registration and will be applied toward your total balance.

Payment in full is due no later than June 1, 2015. 

What if I’m applying for financial aid?

Financial aid applicants must submit a $100 deposit in order to complete registration. The deposit will apply toward your total tuition payment. In the event that you withdraw your application if you do not receive enough financial aid to attend, the $100 deposit will be refunded to you. What if I'm applying to a program that requires an audition, and I don't get in?

If you are a first time instrumental applicant to the Jazz Institute and you are not accepted to the program, we will either offer you a space at Jazz Camp if there is space available, or we will refund your deposit.

If you are a first time applicant to the Jazz Institute Vocal Program and you are not accepted to the program, we will refund your deposit.

Are deposits for dorm room keys and instrument rentals charged to my credit card?

No, deposits for dorm room keys and instrument rentals are not charged to your credit card, but a hold for the amount is placed on your account. When the dorm key or instrument is returned on time and without damage, the hold will be released. 

What is SJW's cancellation and refund policy?

Except as noted above, deposits for SJW programs are non-refundable. Cancellation requests for all programs must be made in writing via e-mail to registrar@stanfordjazz.org by an adult, age 18 or older. Cancellation requests made on or before June 1, 2015 are eligible for a 100% refund, minus the deposit. Cancellation requests made between June 2, 2015 and July 1, 2015, inclusive, are eligible for a 50% refund, minus deposits. We regret that we cannot give refunds for cancellations made after July 1, 2015.

Important deadlines

  • February 1, 2015: End of Early Bird registration discount of $50.
  • April 1, 2015:
    • Evaluation/audition recordings are due for Giant Steps Day Camp, Jazz Camp, and Jazz Instiute.
        º After this date evaluation/audition recordings are required at the time of registration. Students may submit their evaulation/audition recordings before the deadline if they wish to.
    • Financial aid deadline
        º All financial aid materials must be received by this date
        º Please note, once you select you want to apply for financial aid online when completing registration for one of our programs, it will take us up to 72 hours to email the financial aid application to you. In order to completed your application you will be required to submit a student essay, letter of recommendation, and proof of your financial situation.
        º Financial aid students will receive an extended evaluation/audition deadline of May 15, but we encourage students to submit their recordings in advance if possible.
  • May 1, 2015: Financial aid decisions will be finalized. All students whose applications for financial aid were received by SJW by the April 1 deadline will receive a response via email by May 1.
  • May 15, 2015: Extended evaluation/audition deadline for students who applied for financial aid.
  • June 1, 2015:
     • Balances due to SJW must be received by this date. Payments may be made anytime through participant online accounts.
     • Housing/resident option deadline
         º Due to limited housing at Stanford, after June 1 housing will be available on a case-by-case basis and the housing package for each program will increase by $100.
     • Cancellation deadline to receive full refund minus deposit for all summer programs. 
  • July 1, 2015
     • Cancellation deadline to receive a 50% refund minus deposit for all summer programs.
     • No refunds will be issued after this date. 

Enrollment closes three days prior to the beginning of our summer program. No applications will be accepted after the following dates for the following programs:

  • Giant Steps Day Camp: Thursday, July 9 at midnight
  • Jazz Camp Week 1: Thursday, July 16 at midnight
  • Jazz Camp Week 2: Thursday, July 23 at midnight
  • Jazz Institute: Thursday, July 30 at midnight
